Purpose of the Position:

The staff assistant will provide administrative support for the Mechanical and Aerospace Department faculty, staff, and students.

Duties / Responsibilities:

• Assist with the management of all purchasing for approximately 25 faculty (most with significant research activity). 5 to 10 academic part-timers in any given semester, 5 senior design courses (including NASA Rover/Moonbuggy) and the extracurricular Space Hardware Club (latest student organization in the College with approximately 200 members coordinating 10 projects per year).
• Assist with the post-grant financial support for large number of research faculty, including facilitation of required follow-up forms and budgets with OSP and Contracts & Grants departments, purchasing supplies, and assisting faculty in Banner transactions.
• Assist with the management of Graduate Student records.
• Daily management of the MAE departmental email.
• Greet students, faculty, staff, visitors and campus partners while providing a high level of service, maintain a productive and quality work environment. Coordinate communications within department through email, telephone, and in person.
• Assist in the coordination of MAE conference room schedule on Google calendar.
• Assist with office management functions and coordination, including maintaining hallway displays, maintaining professional office environment and meeting faculty needs.
• Daily tasks may include, but are not limited to: answering/making calls, copying/scanning/printing, sorting and distributing mail, typing/data entry as needed.
• Assist with the administration of MAE department key records.
• Perform other duties related to office operations as needed.

Minimum Requirements:

• High school education or equivalent.
• 5 years of full-time verifiable secretarial or administrative work experience (which should
include accounting and budgeting experience).
• Proficient in Microsoft Office Suite, especially Word and Excel.
• Excellent communication skills.
• Ability to create and edit letters and reports.

Desired Qualifications:

• Bachelor's degree is preferred.
• Knowledge of and experience in contract administration is desired.
• Banner, Google Apps, and Adobe Acrobat is preferred.
• Previous experience in a university is desired.

Published Salary (if available):

$18,720 - $20,800
