This role assists with scheduling, event logistics, partner communication, and basic documentation to help outreach activities run smoothly and consistently. The manager works closely with Neighborhood Nursing faculty and College of Nursing staff to support community-based screening and education activities in alignment with university processes and program guidelines.Duties / Responsibilities:Program Coordination & Logistics (60%)• Manage day-to-day operations of UAH Neighborhood Nursing outreach program, including timelines, workplans, deliverables, and logistics (site details, supplies, set-up needs, and day-of support).• Maintain program calendars, contact lists, and task trackers; follow established workflows and checklists.• Prepare and organize program documentation (event folders, policies, workflows, vendor files, meeting notes, basic templates, outreach protocols as provided). • Support coordination of staff, student workers, interns, and volunteers by sharing schedules, reminders, and role assignments.• Assist with onboarding support (e.g., distributing materials, confirming required trainings, sharing safety and engagement guidelines).• Support a culture of respect, responsiveness, and continuous improvement across the outreach team.Partner Communication & Outreach Support (25%)• Steward and grow partnerships with community-based organizations, government agencies, clinics, schools, and nonprofits. • Support communication with community partners by coordinating emails, confirming event details, and scheduling partner check-ins as directed.• Assist with preparation of outreach materials (flyers, emails, community updates) in collaboration with College of Nursing marketing and UAH communications offices.• Attend select community meetings/events to provide logistical support and take notes as needed.• Work with the Clinical Placement and Outreach Coordinator by gathering needed information for MOUs and routing paperwork through the appropriate channels.• Collaborate with College of Nursing Marketing Coordinator and UAH Office of Marketing and Communications to develop outreach materials (flyers, toolkits, web copy, and social media content).Basic Data, Purchasing, and Reporting Support (15%)• Assist with basic tracking of program activity (e.g., attendance counts, number of screenings conducted, referral counts when available) using established tools and templates.• Help compile routine updates for internal use (simple summaries and status updates).• Identify resource needs (supplies, equipment, transportation, space) and coordinate procurement and inventory with UAH offices.• Coordinate supply requests and purchasing paperwork with the College of Nursing Resource Manager and relevant UAH offices; maintain a simple inventory list.• Prepare reports and briefs for internal use and community stakeholders.• Support grant-writing and administration for UAH Neighborhood Nursing by organizing documentation, compliance, and reporting program metrics (outputs, outcomes, engagement, satisfaction, referral follow-through, etc.) in collaboration with principal investigator (PI)s. Assist PI in collecting and submitting documents for grant proposals using university information systems. Minimum Requirements: • Bachelor's degree or equivalent combination of education and experience.• 2-3 years of full-time verifiable work experience.• Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) and shared drives.• Strong organizational skills and follow-through; ability to manage multiple tasks with guidance and clear priorities.• Professional communication skills, including excellent written and verbal communication. Will be working with community members, nurses, faculty, students, healthcare partners, and local stakeholders.• Experience preparing meeting materials and basic outreach communications (flyers, emails, community updates).• This position will require work hours into the early evening and occasional weekend hours. Work times are typically planned for one semester in advance.• The role requires travel to neighborhood nursing sites; must be able to provide own reliable transportation.• Collect and/or maintain program data; ensure appropriate privacy, consent, and data governance practices. Desired Qualifications: • 3+ years of experience supporting programs in an academic setting, community health, nonprofit, or grant-funded setting is desired.• Experience with privacy expectations in healthcare/education environments (HIPAA/FERPA awareness preferred) is desired.
