Purpose of the Position:

The Engineering Technology Department Administrative Assistant will ensure that all departmental academic and research activities are performed proficiently, which requires working closely with staff, faculty, students, and various units across campus.

Duties / Responsibilities

Administrative Processes:
• Assist with management of Chair’s daily calendar.
• Manage the departmental calendar of events, seminars, meetings, etc.
• Maintain a directory of department personnel and students.
• Maintain departmental and faculty files.
• Facilitate processing of travel authorizations, if applicable.
• Monitor computer lab supplies, schedule of software updates, staffing/access, if applicable.
• Prepare invitations for seminar speakers. Coordinate travel and lodging for guests.
• Assist in filing, copying, scanning, etc. and keeping track of documents involved.

Curriculum Support & Coordination:
• Prepare course schedules for submission to CoS.
• Monitor section enrollment, waitlists; submit schedule adjustments as directed.
• Prepare catalog/curriculum change forms as directed for submission to CoS.
• Coordinate with faculty and place textbook orders.

Events Coordination:
• Assist with preparation of materials and set up for student recruitment events, faculty meetings, departmental events, etc. Events may occasionally occur outside of core business hours.

Minimum Requirements:

• Bachelor’s degree or equivalent combination of education and years of experience.
• 3-5 years full-time verifiable relevant administrative work experience.
• Proficiency with Microsoft Office.
• Ability to read and interpret budget statements.
• Ability to utilize Google Drive file system.
• Excellent communication and interpersonal skills.
• Ability to manage multiple concurrent tasks.

Desired Qualifications:

• Experience in an academic environment.
• Proficiency with Banner, Argos, Degree Works.

Published Salary (if available):

$41,000-$46,000
