This position ensures the accuracy, integrity, and confidentiality of student records while serving as a primary point of contact for inquiries related to academic data and Registrar services.Duties / Responsibilities:• Provide excellent customer service to students, faculty, staff, and the general public seeking information from the Registrar’s Office. • Maintain a thorough understanding of academic and university policies and procedures to ensure accurate information is provided. • Respond to inquiries received through the University Registrar’s email account, by telephone, or in person, providing clear guidance and assistance as needed. • Manage the Registrar’s Office main telephone line, respond to inquiries, and route calls to appropriate staff members. • Strong verbal and written communication skills are essential for success in this role.• Process and issue official and unofficial transcripts using third-party software integrated with the University’s ERP system (Ellucian Banner). • Monitor data exchange and troubleshoot interactions between the vendor platform and Banner. • Provide official enrollment verifications and enrollment histories for students and external entities, including but not limited to the Department of Defense, the U.S. military, security clearance agencies, and background verification services. • Ensure all requests are appropriately authorized and credentials verified before release.• Perform data management functions including entry, updates, and corrections to academic records within Ellucian Banner, Banner Document Management, and other university systems. • Oversee and manage the Listeners License program, including application processing, eligibility verification, and course registration. • Assist in maintaining and updating the Registrar’s Office website and internal calendar. • Manage data entry and tracking for replacement, duplicate, or damaged diplomas.• Provide data entry support for the Registrar’s Office, including transfer credit data entry, document scanning and indexing, and time ticketing. • Serve as backup support for systems such as Coursedog Events, Kuali workflows, Raptor, Joomla, and Slate. • Generate ad hoc reports using Argos, Excel, and Coursedog as needed. • Assist with commencement-related preparation and event execution. Minimum Requirements: • Bachelor’s degree, or an equivalent combination of education and relevant experience.• Minimum of one (1) year of full-time or three (3) years of part-time verifiable administrative or office support experience.• Proficiency in Microsoft Office Suite and Google Workspace applications.• Demonstrated accuracy and attention to detail in data entry and record management.• Strong customer service orientation with excellent verbal and written communication skills. Desired Qualifications: • Previous experience working in higher education, preferably within a Registrar’s Office or related student records environment.• Experience using enterprise resource planning (ERP) systems such as Ellucian Banner or Colleague, and reporting tools such as Argos or Informer.• Experience with workflow or application development platforms such as Kuali.• Knowledge of and experience applying the Family Educational Rights and Privacy Act (FERPA) and related regulations governing the release and protection of student information.
