| Purpose of the Position: |
It’s an exciting time to join the Office of Human Resources at the University of Alabama in Huntsville. We are seeking a proactive HR Administrative Specialist to serve as the primary administrative partner to the CHRO and human resources leadership team. In this role, you will go beyond traditional HR tasks to manage operational workflows, manage the department budget and billing, administer the employee tuition assistance program, and lead the organization and execution of major campus HR events.
The ideal candidate functions with a high degree of autonomy, financial accuracy, discretion, confidentiality, tact, and professionalism. Commitment to operational excellence and a continuous improvement mindset is a must.
Duties/Responsibilities
Administrative Support: • Manage the HR master calendar • Provide administrative and operational support for the AVP • Manage the AVP’s calendar; schedule meetings and appointments • Respond to letters, calls, emails, or other incoming communications, as appropriate • Work independently, under the general guidance of the AVP, with confidentiality, tact, discretion, and professionalism • Coordinate travel arrangements and make reservations as requested
Budget Support: • Prepare purchase requisitions • Reconcile HR PCard accounts payable • Prepare invoices and process payments for all transactions related to Benefits and wellness • Monitor HR budget accounts and prepare monthly budget reports • Manage office supplies inventory and place orders as needed • Review temporary billing invoices and ensure that departments are charged appropriately • Prepare ad hoc and routine budget reports
Tuition Assistance: • Process requests for tuition assistance • Prepare tuition assistance reports, as requested • Maintain tuition assistance records • Respond to employee inquiries regarding tuition assistance
General Personnel Data Analysis & Reporting: • Gather, reconcile, and report data for annual salary surveys • Prepare routine and ad hoc reports for various human resources purposes

| Minimum Requirements: |
Associate's degree in Human Resource Management, Business Administration, or a related field from an accredited college or university. Four (4) or more years of completed education and/or relevant experience may be considered to satisfy educational requirements.
Experience: Three (3) years of progressively responsible administrative experience, to include a minimum of 1 year of full-time experience in an exempt-level Human Resources role

| Desired Qualifications: |
Bachelor's degree in Human Resource Management, Business Administration, or a related field from an accredited college or university. Certification in Human Resources (PHR or SHRM-CP)
Financial Acumen: Proven experience managing budgets, processing invoices, or coordinating financial benefits like tuition assistance. Demonstrated ability to gather, analyze, and report personnel and financial data.
Project & Event Management: Strong track record of planning, organizing, and executing mid-to-large-scale professional events, workshops, and/or projects/initiatives.
Technical Proficiency: Mastery of office productivity software (Microsoft Office Suite, Google Workspace) and enterprise HR software (e.g., PageUp, Banner, or Oracle).
Communication & Discretion: Exceptional interpersonal and professional writing skills, with a demonstrated ability to handle sensitive executive information with complete confidentiality. Strong focus on customer service. Ability to multitask, set priorities, and work independently in the completion of assignments. Ability to establish and maintain effective working relationships with all constituents within the University.
