Purpose of the Position:

The ESSC seeks a Research Staff Assistant to perform administrative support to the ESSC FARM group in Colorado as well as comply with recommended new duties/procedures as outlined in a recent internal audit. The incumbent will process travel vouchers, provide purchasing card documentation and justifications on grant purchases, assist with labor distributions and support many other ESSC administrative functions within the research center.

Duties / Responsibilities:

• Reports to the ESSC Senior Research Program Administrator.
• Perform administrative duties for the ESSC FARM team in Colorado, including but not limited to :
• Processing travel authorizations and vouchers for the FARM team.
• Changing FARM labor distribution and entering labor into the department payroll book for forecasting and oversight by senior administrators.
• P-card reconciler for a subset of the FARM team (4-5 purchasing cards).
• Provide documentation & justification in Kuali for P-Cards on grants for FARM (there is one required per purchase on grant).
• File and organize FARM team's transactions in the req server and/or Google Drive for easy access for ESSC as a whole.
• Review of the team's transactions after posting to ERP system accounts to ensure accuracy and avoidance of duplicated efforts.
• Request a report quarterly from the Charger Card office to monitor and review any employees who have access to NSSTC and SWIRLL and remove access where needed.
• Review state orgs monthly for default of any unallocated P-card transactions and correct where needed.
• Enter forms to add orgs to P-Cards to C&G as well as the Purchasing department when new orgs are created each week.
• Serve as monthly reconciler of departmental P-cards held by the Senior ESSC Research Program Administrator to assure proper separation of duties.
• Direct employees on how to obtain badging and access to building and labs within the NSSTC and SWIRLL buildings.
• Enter requisitions for departmental purchases for the allowance of a secondary approval within the ESSC department.

Minimum Requirements:

• High school education or an equivalent combination of education and years of experience.
• 1-3 years of full-time, verifiable work experience.
• Knowledge of MS Office Suite.
• Must have excellent interpersonal, verbal, and written communication skills.

Desired Qualifications:

• A bachelor's degree is preferred.
• Previous experience in a college or university setting is desired.
• Proficiency in MS Office suite is desired.
• Basic accounting or budgeting skills are preferred.

Published Salary (if available):

$17.31 - $18.27 an Hour
