| Purpose of the Position: |
The University of Alabama in Huntsville’s Graduate School and Office of International Services seeks a detail-oriented, motivated, and energetic person to work in an exciting, fast-paced setting. The Staff Assistant will provide professional and friendly front-facing, day-to-day administrative support while working closely with faculty, staff, and students in a team environment.
Duties/Responsibilities • Represent the unit as the first point of contact and provide reception duties, including answering phones, greeting visitors, and monitoring/responding to various email accounts • Answer general student questions for both international and graduate school populations • Provide basic inquiries to determine the routing of visitors, phone calls, emails, and general questions to the appropriate staff • Assist International Services with obtaining documentation in preparation for the arrival of students • Independently compose various forms of correspondence • Provide administrative support as needed, including reserving conference rooms and assisting with scheduling and preparation for various meetings • Process travel paperwork and manage documentation • Maintain an ongoing inventory of office equipment • Coordinate with staff in placing orders for office supplies • Maintain the filing system for the front office • Maintain the function of the copy machine, placing service calls as needed • Place service calls for housekeeping and facilities maintenance as needed • Advertise and promote the unit’s student events utilizing various social media/marketing channels to maximize staff, faculty, and student participation and attendance • Assist with digital fliers, advertisements, announcements, newsletters, and photography for the unit • Assist with online admissions recruiting meetings and Lunch-and-Learn recruiting events • Assist, as needed, with other events hosted by the unit

| Minimum Requirements: |
• High school diploma, one year of experience in an administrative, customer service, or receptionist role, or an equivalent combination of education and experience. • Excellent written and verbal communication skills • Professional knowledge of Microsoft Office and Google suites • Willingness to work collaboratively with multiple team members

| Desired Qualifications: |
• Bachelor's degree • 1-3 years of full-time, verifiable customer service or administrative work experience • Knowledge of Banner, Banner Xtender, Zoom, Adobe Acrobat, Canva
