This role manages data feeds between Banner HR and Banner Finance, processes manual and automated payroll transactions, and ensures compliance with federal, state, and university regulations. The incumbent will develop and maintain payroll reports and procedural documentation, supports system improvements, and provides backup and cross-training for Payroll staff. The Payroll Administrator serves as a liaison with HR, Accounting, Benefits, and OIT offices, contributing to accurate financial reporting, and the overall efficiency of payroll operations. Key responsibilities include • Processes manual, bi-weekly payroll transactions, including late timesheets, leave payouts, and returns on direct deposits, ensuring accuracy and timely issuance of payments. • Enters payroll data manually into Banner forms, verifies balances, and coordinates with accounting staff to issue paychecks. • Processes leave-related payroll transactions, including Leave Loaded System (LLS) and Business Interruption Insurance (BII), and ensures accurate reporting and accounting of leave payouts. • Manages bi-weekly payroll feeds into Banner Finance, researches and corrects errors in coordination with Accounting and IT, and ensures proper salary and benefit allocations. • Administers the labor distribution process as part of the university’s payroll operations, ensuring the accurate allocation of salary and wage expenses in alignment with institutional policies and funding requirements. • Researches, analyzes, and resolves payroll discrepancies and financial variances by preparing and processing journal entries to correct errors, reallocate expenses, and ensure accurate, compliant payroll accounting and reporting across multiple accounts and funding sources. • Develops, maintains, and analyzes payroll reports using Argos, Excel, MS Access, and other reporting tools; assists in improving record management and reporting systems. • Maintains and updates the payroll procedures manual, documenting payroll processes, forms, and instructions for all employee positions. • Reviews EPAFs for salary changes, new hires, and terminations to ensure proper payments and calculate leave payouts upon employee separation. • Provides cross-training and support to Payroll staff to ensure coverage of all payroll functions in the absence of team members. • Serves as the liaison between payroll, OIT, general accounting, C & G Accounting, HR, and benefits; provides support to varied general accounting functions, such as bank reconciliations. • Works with the Senior Accountant in general accounting on unclaimed wages that are reported to state agencies. • Responsible for reissuing checks, and contacting the individual about the issue. • Maintain the payroll master calendar, including payroll dates, tax deadlines, timesheet deadlines, liability payments, tax payments, manual check processing, and academic calendar schedules. • Develops training materials, and provides instruction for Banner 9 web-time entry implementation, including ongoing technical support for university leadership. • Responds to requests for payroll schedules, reports, and information from university departments. • Manages and maintains Banner HR rules and validation forms, and assists with month-end journal entries. • Serves as backup for multiple payroll cycles (B9, BW, SB, and S2), ensuring accurate paycheck issuance. • Supports compliance efforts, and provides payroll information for university financial statements and audits. • Audits labor reports biweekly to ensure accuracy and adherence to effort reporting regulations. • Assists with processing payroll 10-step process, the end result is the paycheck. Performs other duties as assigned Minimum Requirements: Bachelor’s degree in Accounting, Finance, or a related field with 5-7 years of full-time, verifiable experience in an accounting or payroll environment, or an equivalent combination of education and relevant work experience. Strong knowledge of payroll systems, reporting tools, and payroll compliance Knowledge of Power BI Must have accounting, budgeting, and finance experience Proficiency in Microsoft Office Suite, with a strong emphasis in Excel Excellent communication, organizational, and problem-solving skills Must have strong analytical skills and attention to detail with a high degree of accuracy Ability to manage multiple priorities, work collaboratively, and maintain accuracy in a fast-paced environment.
