Purpose of the Position:

The Clinic Office Assistant will provide a variety of support to the administrative daily operation of Health Services. In addition to receptionist and scheduling duties, the Clinic Office Assistant will assist the Director, Office Manager, and Billing Coordinator with administrative, customer billing, and projects. They maintain excellent interpersonal skills in interaction with office staff, patients, and visitors.

Duties/Responsibilities
• Maintain excellent interpersonal skills to interact effectively with office staff, patients, and visitors to the clinic.
• Greet patients warmly and respectfully upon arrival; register and check them in
• Handle multi-line phone calls and in-person visits; verify patient demographics in the electronic medical record and schedule appointments appropriately
• Verify university employment and eligibility for all employee patients, as well as eligibility for student patients
• Demonstrate strong organizational skills and the ability to prioritize tasks appropriately
• Be flexible, willing to cross-train, assist co-workers, and take direction as needed
• Handle confidential information appropriately in accordance with HIPAA and FERPA guidelines
• Assist the Billing Coordinator with financial and insurance services to maintain accounts receivable
• Compile and process information such as insurance cards, patient demographics, service fees, and discounts
• Communicate with patients to answer basic billing questions and escalate issues as needed
• Process cash, check, credit card, and payroll deduction payments; prepare receipts and deposits
• Maintain accurate records of patient information and received payments
• Send reminder messages for annual forms, updated insurance information, and follow-up requirements
• Prepare superbills and required documents for scheduled patient appointments
• Scan lab results and other chart documents as directed
• Maintain inventory of office supplies needed for clinic operations
• Distribute incoming faxes and manage outgoing faxes and emails appropriately
• Assist with patient referrals as needed
• Schedule follow-up appointments and manage system reminders
• Provide administrative support to the Director, Office Manager, and Billing Coordinator on projects and clerical tasks

Minimum Requirements:

• High School Diploma, 1 -3 years of full-time verifiable secretarial or administrative work experience or an equivalent combination of education and years of experience
• Proficient in MS office and data entry
• Must have excellent interpersonal and verbal communication skills

Desired Qualifications:

• Previous experience in a medical office is desired.
• Previous experience in a college or university setting is desired

Published Salary (if available):

$36,000 - $38,000
