Purpose of the Position:

The Records Associate is responsible for coordinating and executing all aspects of the issuance of official university documents and to provide general customer service to students, parents, faculty, staff, and administration in regards to student data and records. The Records Office Associate is also responsible to assist in commencement day events. Other duties as assigned.

Duties/Responsibilities

• Provide customer service to students and staff seeking information from Registrar's Office. Incumbent must know academic and university policies and procedures
• Provide official enrollment verifications and enrollment history as needed by students and other entities, including but not limited to Department of Defense, United States Military, Unites States background security verifications and other agencies. This includes verifying credentials are proper and appropriate approvals are provided
• Process applications for students to Space Camp, MACH III, and InSPIRESS. This includes registering students for the course and issuing official transcript for completion of the course.
• Manage data including making changes/updates/corrections/entry of and to various areas within an academic record via Ellucian Banner, Banner Document Management, or various other systems used within the university.
Oversee and manage the Listeners License program including admitting individuals, verification of space availability, and registering a student for class.
• Issue official and unofficial transcripts. This includes using third party software API to provide required backfill to the University ERP system, Banner. Also includes monitoring the interaction between third party vendor and the university's system.
• Maintains and responds to the university's registrar email account. Responses may be provided using email, telephone, or in-person advising concerning the issue.

Minimum Requirements:

• Bachelor's degree or an equivalent combination of education and years of experience
• 1 year of full time verifiable administrative work experience
• Must have experience with Microsoft Office Suite, including Excel and Google Workspace
• Must have experience with imaging software
• Must have excellent written and verbal communication skills
• Customer service skills are required
• U.S. citizenship required

Desired Qualifications:

• Previous experience working in a Registrar's Office
• Experience with Ellucian Banner and Argos
• Experience with Kuali Build

Published Salary (if available):

$30,000 - $35,000
