Purpose of the Position:

The Senior Events Coordinator in the Department of Alumni Relations and Special Events at The University of Alabama in Huntsville (UAH) is responsible for the independent planning, management, and execution of a portfolio of university and partner events. The position exercises professional judgment and discretion in overseeing event intake, space utilization, logistics, marketing coordination, and reconciliation of purchases in accordance with university policies and strategic objectives.

The Senior Events Coordinator serves as a primary liaison for event hosts, campus partners, and external organizations, ensuring that events align with institutional standards, risk management requirements, and experiential expectations. The position has responsibility for supervising student employees, maintaining event assets and records, and managing relationships across campus and with external partners. This role regularly supports events hosted by the Office of the President, Strategic Communications, and external partners such as NASA, the American Astronautical Society, and the Department of Defense. The office of Special Events supports twenty annual events with additional advisory/consulting responsibilities. 

The Senior Events Coordinator reports to and takes direction from the Special Events Manager, under the supervision of the Director of Alumni Relations and Special Events.

Duties/Responsibilities

Event Planning, Management, Logistics, and Space Oversight

-Independently plans and manages event intake, planning, logistics, and vendor communication, and host coordination under the direction of the Special Events Manager.
- Manages institutional event space reservations using the Coursedog system and establishes procedures and standards for space utilization.
-Serves as the primary liaison to Event Services, Facilities, and Operations, University Police, Parking Services, and other campus partners.
-Exercises discretion in evaluating event requests, managing scheduling priorities, and ensuring compliance with university policies.
-Directs events involving high-profile external partners and speakers.
-Supervises student employees and ambassadors, including work assignments and on-site oversight.

Marketing, Communications, and Assessment
-Independent copywriting, editing, and oversight of marketing materials for signature event catalogue to promote events and gain sponsorships.
-Independently writes, edits, and oversees marketing materials for signature and strategic events.
-Day-to-day maintenance of event listings, website content, and promotional materials to ensure accuracy and alignment with university branding.
- Provides written copy and additional guidance for social media content related to event promotion and engagement.
-Collects and assembles event outcome data used for departmental reporting, assessment, and strategic planning.

Administrative and Financial Oversight

-Manages and monitors event budgets and related expenditures.
-Reconciles purchasing activity for the department.
-Maintains event records and documentation used for institutional reporting and assessment.

Minimum Requirements:

-Bachelor’s degree in hospitality, marketing, business, or related field and 2-3 years of progressively responsible professional experience in event management, program administration, marketing, or budget oversight. (An equivalent combination of education and experience may substitute.)
-Proficiency with Google Workspace and Microsoft Office
-Experience using event scheduling or management systems
-Demonstrated ability to manage multiple projects and exercise independent judgment
-Strong written and verbal communication skills, including copy editing and proofreading
-Demonstrated emotional intelligence and ability to work with diverse constituencies
-Willingness to work evenings and weekends as required

Desired Qualifications:

-Experience in higher education or a complex institutional environment
-Experience with Coursedog, CRM Advance, Eventbrite, Emma, or Canva
-Experience supervising student employees
-Understanding of development or advancement practices
-CPR/First Aid Certification

Published Salary (if available):

$50,000 - $55,000
