Purpose of the Position:

The Staff Assistant will provide day-to-day administrative support to departments and students within the College of Arts, Humanities, and Social Sciences. This individual will work closely with other staff assistants to provide seamless organizational support in a team environment.

Duties / Responsibilities:

• Provides coordinated administrative and professional support to the chair, senior administration, and faculty.
• Independently composes correspondence and communicates with students, faculty, patrons, and vendors appropriately.
• Exchanges information regarding department services and provides operating policies and procedures.
• Maintains calendar and schedules meetings for chairs, faculty, and students.
• Routes departmental correspondence and acquires signatures when needed.
• Maintains filing system for undergraduate students.
• Represents department and college as the first point of contact for students.
• All duties, including budgeting, business services, events, student support, calendar management, will be provided to all three departments along with any programs within those departments.
• Assists faculty and students with all aspects of departmental travel to include help with preparation of travel authorizations, booking flights, reserving hotels, and processing reimbursement.
• Prepares and monitors all purchasing for the departments via requisitions, PCards, miscellaneous vouchers, and budget transfer.
• Manages all financial and personnel records, including maintenance of invoices, cash receivables and disbursements, and preparation of ePAFs.
• Drafts financial, statistical, and other reports as requested using discretion and decision-making abilities.
• Process full-time and part-time hiring documentation.
• Assist department chair and faculty with class schedules, book orders, and teaching schedules.
• Enters detailed class and instructor information to the registrar each semester.
• Audits class schedule and assists with corrections as needed.
• Hires, trains, and supervises student workers.
• Processes gift information.
• Create departmental newsletters and website management, if needed.
• Other duties as assigned.

Minimum Requirements:

• High school education or an equivalent combination of education and years of experience.
• 1-3 years of full-time verifiable secretarial or administrative work experience.
• Must possess excellent written and verbal communication skills.
• Must have extensive knowledge of Microsoft Office Suite to include Word, Excel, PowerPoint, Adobe Pro, and Google Drive.
• Must be willing to work collaboratively with other team members.

Desired Qualifications:

• Bachelor's degree is preferred.
• Knowledge of Banner is desired.

Published Salary (if available):

$35,000 - $37,000
