Purpose of the Position:

The Clinic Office Assistant will provide on-call support to the administrative daily operation of Health Services. In addition to receptionist and scheduling duties, the Clinic Office Assistant will assist the Director, Office Manager, and Billing Coordinator with clerical tasks, customer billing, and projects. They maintain excellent interpersonal skills in interaction with office staff, patients, and visitors.

Duties/Responsibilities
• Maintain excellent interpersonal skills to interact with office staff, patients and visitors to the clinic.
• Greet patients warmly and in a respectful manner as they arrive. Register/check in patients.
• Handle multi-line phone and in person visits to the clinic and verify patient demographics in the electronic medical record and scheduling appointments appropriately.
• Verify university employment/eligibility for all employee patients to be seen and verify eligibility of student patients.
• Must be organized and able to appropriately prioritize tasks.
• Must be flexible, willing to cross train, help co-workers and able to take direction.
• Appropriately handle confidential information within HIPAA and FERPA guidelines.
• Assist Billing Coordinator with financial and insurance services to maintain accounts receivable.
• Compile and process information such as insurance cards, demographics, service fees, discounts, etc.
• Communicate with customers to answer simple billing questions and escalate as needed.
• Process cash, check, credit card, and payroll deduction payments. Prepare receipts and deposits.
• Keep accurate records (patient information, received payments etc.).
• Send reminder messages for annual forms, insurance cards/info, and follow-ups.
• Produce superbills and prepare documents for patients scheduled to be seen.
• Scan labs and chart documents as directed.
• Keep inventory of office supplies needed for clinic.
• Distribute all incoming faxes, maintain outgoing faxes and emails appropriately.
• Assist with referrals as indicated.
• Make follow-up appointments and manage system reminders.
• Assist Director, Office Manager, and Billing Coordinator with projects and clerical tasks.

Minimum Requirements:

• High School Diploma or an equivalent combination of education and years of experience
• 1 or more years of full-time verifiable work experience
• Proficient in MS office and data entry

Desired Qualifications:

• Previous experience in a medical office is desired.
• Previous experience in a college or university setting is desired

Published Salary (if available):

$34,000 - $38,000 ($16.35- $18.26) per hour (This is an on-call position)
