Purpose of the Position:

The Staff Assistant will serve as the primary office support to the Associate Dean for Graduate Programs, assist Program Coordinators, and support the Admissions and Advising functions within the Office of Graduate Programs in the College of Nursing.
This role includes performing a variety of moderately complex administrative and clerical duties in support of College of Nursing faculty. Responsibilities include providing secretarial support, obtaining instructional materials, typing exams and clinical evaluations, and assisting with student registration. The Staff Assistant will also utilize information systems to track and manage data related to student performance, and will assist in the planning and execution of College of Nursing events, supporting faculty, staff, and students as needed.

Duties/Responsibilities
Tasks that support the general functioning of the office and routine administrative tasks.
• Provide administrative support for daily operations and activities
• Offer general office support (supplies, mail, keys, desk copies, scanning, copy center)
• Compose and format correspondence
• Monitor departmental email and screen calls
• Maintain event calendars and schedule meetings
• Provide backup office coverage
• Implement and maintain efficient systems and procedures
• Maintain and organize records
• Archive course syllabi
• Collaborate with other staff
• Perform other duties as assigned

Tasks focused on supporting meeting logistics and documentation.
• Assist in preparation of meeting agendas
• Record, edit, and distribute meeting minutes
• Prepare, review, and edit documents, presentations, and spreadsheets

Responsibilities related to coordinating travel and procurement processes.
• Coordinate and process work-related travel (requests, bookings, reimbursements)
• Build and maintain vendor relationships

Tasks supporting academic processes and student-related systems.
• Register students into lab sections
• Assist faculty with information systems for tracking outcomes
• Generate and prepare reports
• Participate in new faculty orientation
• Support student engagement activities (ceremonies, events)

Involves planning, coordinating, and supporting events and external engagement.
• Plan and execute events (marketing, recruitment, outreach, community engagement)
• Manage and coordinate logistical support for events
• Maintain relationships with volunteers and stakeholders

Focused on higher-level support roles that might require some leadership or specialized assistance.
• Participate in and occasionally lead planning
• Support program coordinators, associate deans, and dean

Minimum Requirements:

• High school diploma or an equivalent combination of education and experience
• 1–3 years of experience in a secretarial or administrative support role
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Suite (Docs, Sheets, Calendar, etc.)
• Excellent written, verbal, and interpersonal communication skills
• Strong attention to detail and accuracy in data entry, document preparation, and communication
• Strong organizational skills with the ability to manage multiple tasks and prioritize effectively
• Ability to handle confidential information with discretion and professionalism

Desired Qualifications:

• Experience with academic scheduling systems and student information systems
• Familiarity with educational platforms such as Canvas, Qualtrics, or other learning management and data collection tools
• Proven ability to take initiative, manage responsibilities independently, and collaborate effectively with diverse teams in a fast-paced, high-demand academic or professional setting
• Excellent time management skills with the ability to meet deadlines and adapt to changing priorities
• Prior experience coordinating events, workshops, or academic ceremonies
• Customer service mindset with a proactive approach to problem-solving and faculty/student support

Published Salary (if available):

$35,750 - $37,000
