Purpose of the Position:

While coordinating with The Office of International Services, The Office of Research Security, and NASA Security Office, this position is responsible for making sure that the badging process runs effectively. The process includes processing required documents, and possibly transporting US Citizens and Foreign Nationals onto Redstone Arsenal. In order to complete these tasks, the position holder must apply for and obtain a NASA Clearance and a Foreign National Escort Clearance. The job also includes updating and maintaining the database for CSPAR & the Department of Space Science staff and students, including REU and EPSCoR interns. The incumbent will promote CSPAR and the Department of Space Science activities on campus and within the community. Incumbent must also comprehend and apply NASA policies and procedures related to TCP plans and export controls.

Duties/Responsibilities
• Will coordinate with new members of CSPAR and the Department of Space Science to get acclimated within the department. Onboarding tasks include, but are not limited to, coordinating new office space set up, completing requests for building access, completing personnel files, updating the department websites, etc. While completing these tasks, the incumbent will coordinate with The Office of International Student Sevices, The Office of Research Security Office, and NASA Security Office to ensure the badging process is completed in a timely manner.
• Will schedule in person and zoom department meetings for both CSPAR and the Department of Space Science for doctoral and masters program defenses. Coordinates with the director to create an agenda and meeting minutes.
• Will coordinate interdepartmental group activities to increase morale throughout the year. Will coordinate the CSPAR awards closely with the director.
• Will collect and compile applications, student data, required documentation, schedule appointments, arrange travel accommodation, etc. for special research programs.
• Will support the preparation of reports and presentations requested by University Administrators.
• Will coordinate with the Program Manager on all new hires to ensure their new employee packets are complete and are able to start on time. Also coordinates with the manager and the new hire’s supervisor to make sure the new hire has the required items in order to start their job on time.
• Will review all Technology Control Plans (TCPs) submitted by Resesrch Security for accuracy before implementation can occur. Implements the exit process when an emplyee leaves UAH by processing exit (approved by CSPAR Adminstrator) and collects all equipment.
• Will coordinate all team building activities with the summer interns of the REU program.
• Will assist with other CSPAR research programs as needed
• Collect and compile applications, student paperwork, documentation, plan schedule, arrange housing and meals, etc. - REU summer program, Joint Space Weather Summer Course
• Girl’s in Science and Engineering Day – will work closely with faculty, researchers, and current Department of Space Science students to create a project for the event.
• Week of Welcome Research Open House – coordinate with faculty, staff, researchers, and current Department of Space Science students to volunteer to interact with students at the open house.
• Will attend conferences or fairs where prospective students might attend
• Maintain database for the Department of Space Science. The incumbent will track the statistics within the Department of Space Science. The areas of interest that are tracked are applications, enrollment, graduation rates, and SIE reports.
• Will answer questions in regard to the department, admission process, and funding opportunities within the Department of Space Science. If requested, the incumbent will plan a campus tour for prospective students. Will attend conferences or fairs where prospective students might attend.
• Additional Duties: Coordinate with the faculty member and the chair of the department on promotion dossiers. Tasks include confirming documents are submitted in Faculty180, collecting external reference letters, and answering any questions the faculty member might have in regards to the process as well as working within the dates outlined by the university. Coordinates with the students of the department of Space Science to ensure student labs and offices are clean and in proper working conditions

Minimum Requirements:

• Bachelor's degree in Business, Communication, English, or Office Management, or an equivalent combination of education and years of experience.
• 3-5 years of full-time verifiable administrative work experience.

Desired Qualifications:

• Experience with Banner Software tools and Argos reporting is preferred.
• Experience in a comparable program management support position is desired.
• Familiarity with scientific and technical terminology is preferred.
• Academic training involving strategic planning and database management if preferred.
• Experience coordinating outreach events and recruitment is preferred.
• Experience working in an educational environment is preferred.

$40,000 - $43,000
